Position Summary:We are seeking a highly organized, proactive, and professional Office Supervisor / Executive Assistant to the CEO / Legal Assistant to support the CEO and senior leadership team. This role ensures the smooth day-to-day operation of the office while providing high-level administrative support and light legal assistance to internal counsel. The ideal candidate brings strong interpersonal skills, sound business judgment, and the ability to anticipate needs in a fast-paced environment, while partnering closely with the Administrative Assistant to keep operations running seamlessly. Key Responsibilities: Office Operations & Supervision Oversee daily office operations to ensure a professional, well-functioning environment Partner closely with the Administrative Assistant to coordinate priorities and ensure coverage Manage office supplies, inventory, and vendor relationships Coordinate department lunches, company events, and internal meetings Partner with facilities/vendors on maintenance and office needs Executive & Administrative Support Provide direct administrative support to the CEO, including calendar management, meeting coordination, and communications Assist General Counsel, CIO/CFO and other senior leaders as needed Prepare materials, agendas, and logistics for executive and board meetings Coordinate board meetings, including catering, room setup, and materials distribution Legal Support (Administrative) As needed and in coordination with other assistants, provide administrative support to internal counsel, including document formatting, organization, and file management. Maintain and organize contracts and legal records with a high level of confidentiality, utilizing LinkSquares to manage contract workflows and track key terms, deadlines, and document status Coordinate document execution (e.g., DocuSign) and maintain records Support internal coordination on routine legal-related requests Culture & Coordination Foster a positive office environment Support cross-functional communication and coordination Anticipate needs and proactively solve problems Eligibility Requirements: 3–5+ years of experience in an executive assistant, office manager, or similar role Strong organizational and multitasking skills with exceptional attention to detail Excellent interpersonal and communication skills Demonstrated business acumen and professionalism with senior leadership Ability to handle sensitive and confidential information with discretion Experience supporting legal or compliance functions is a plus Proactive, resourceful, and solution-oriented mindset Required Qualifications Must submit your application for employment through www.interparkholdings.com/careers.aspx to be considered for this position.
