***Duties and Responsibilities:*** - Coordinates and maintains files on all trailer inspections, maintenance and legal documents - Responsible for all confidential files showing compliance with U.S. Department of Transportation rules & regulations - Collects, enters and audit driver logs (against time cards when appropriate) in a specialized auditing program and takes appropriate action with individual drivers, if needed - Manages the Electronic Logging Device (ELD) program with Fleet vendors and the ELD Company - Trains the drivers on the ELD system, - Manages all exceptions that occur and works with the driver to resolve the issues - Orders all new vehicles for the company including special orders for KHI transferees - Keeps track of new vehicle orders and coordinates the sale or pick up of terminated vehicles - Coordinates all Administrative Services Loan Pool vehicle maintenance and signs out appropriate vehicles for emergency and company use - Approves or denies maintenance requests company-wide - Handles all accident and windshield claims and maintains a tracking system - Manages the Motor Vehicle Record (MVR) process - Researches, creates and distributes a quarterly driver training email - Creates and maintains training programs for drivers with violations on their driving record - Maintains current knowledge of Federal and State laws including updates and changes - Reviews preventative maintenance and fringe benefit mileage reports and executes follow-up with drivers and leasing company - Ensures accuracy of all vehicle documentation and coordinates with leasing company or appropriate state when errors occur - Maintains fleet policies, procedure manual for all duties as well as the Driver Handbook - Enrolls company drivers in PNP (Pull Notice Program) or state monitored programs and alerts drivers when their driving record changes - Ensures all commercial drivers are trained on Federal and state laws and reporting procedures before they drive Kawasaki vehicles - Coordinates the renewal of DOT records as well as various state permits - Provides training for new field employees on the fleet program - Prepares and manages budget for fleet program, to include providing budget analysis and fiscal reporting to the assistant controller and Chief Financial officer - Creates Vehicle Lease reports for finance on a quarterly basis ***Education and Experience:*** A Bachelor’s degree or equivalent from a four-year college with a minimum of five years related experience and/or training. Previous Department of Transportation (DOT) and fleet or vehicle experience is preferred. CAFS or CAFM Certification is helpful. ***Qualifications:*** To perform this job successfully, you must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. - Must be able to pass a physical and become a qualified driver - Must have and maintain a good driving record - Must exhibit excellent oral and written communication skills. - Must demonstrate the ability to successfully prioritize and organize multiple, competing tasks. - Must be extremely detail and deadline oriented. - Must bring energy and enthusiasm to group or team efforts. ***Computer Skills:*** To perform this job successfully, you should have expert knowledge and experience working with Microsoft's Word, Excel, and PowerPoint software.
