## Description **POSITION PURPOSE:** The Rehabilitation Administrative Assistant provides administrative and operational support to the Rehabilitation Department and Director. Manages staff records, coordinates schedules, maintains patient and departmental files, and supports billing and insurance processes. Assists with patient and staff inquiries and facilitates communication with physicians and payers. Maintains professional skills through ongoing education and ensures departmental compliance with hospital policies. **ESSENTIAL FUNCTIONS:** - Assist the Director in maintaining rehabilitation professional staff records, including in-service education, competencies, evaluations, and licensure documentation. - Support departmental personnel processes by managing employee timekeeping and schedules, tracking time-off requests, and assisting with new hire interview and selection coordination. - Communicate with physician offices and insurance providers to obtain required referrals and pre-authorizations and collaborate with the Director of Revenue Cycle to ensure insurance requirements are met to support accurate billing and reimbursement. - Order and maintain departmental supplies in accordance with purchasing procedures and comply with all hospital policies. - Prepare and maintain accurate departmental patient and administrative files to ensure compliance and continuity of care. - Coordinate therapists’ schedules by scheduling initial and ongoing appointments, entering appointments into the EMR, and conducting reminder calls to support efficient clinic operations. - Answer calls, greet patients and visitors, resolve inquiries, and direct individuals to appropriate resources. - Maintains and enhances professional competence through continuing education, workshops, literature review, and participation in professional affiliations. **ADDITIONAL RESPONSIBILITES:** - Other duties as assigned by the Director of Rehabilitation **JOB QUALIFICATIONS/EXPERIENCES/SKILLS:** Required - High school diploma or equivalent. - Customer service skills and experience. Preferred - Computer and/or office experience. - Experience in an administrative assistant role. - Knowledge of medical terminology and insurance guidelines regarding rehabilitation authorization. **WORKING CONDITIONS/PHYSICAL REQUIREMENTS:** - Prolonged periods of sitting at a desk and working on a computer. - Must be able to lift 50 pounds at times. - Must be able to access and navigate each department at the organization's facilities.
