ESSENTIAL FUNCTIONS: • Provides a wide range of office services such as typing, data input, file review, customer and employee phone inquiries, filing and other duties as assigned. • Administrative Support o Assist Loan Officers with daily administrative duties. o Schedule appointments and maintain calendars. o Prepare and organize loan files and supporting documentation. o Enter and update borrower information in loan origination systems (LOS). o Maintain accurate records and filing systems. o Scans documents and correspondence for inclusion into loan application. o Acts as the liaison between internal and external customers, attorneys, insurance agents and Loan Officers. o Gathers appraisal checks and coordinates between loan officer and mortgage processor to order appraisals. o Gathers information to set up CIF for new customers and opening the deposit related accounts. • Customer Service o Serve as a point of contact for borrowers during the loan process. o Answer questions regarding loan application status and documentation requirements. o Communicate professionally with clients, real estate agents, title companies, and lenders. o Follow up with borrowers to obtain missing information or documents. o Follow up and respond to customer and in-house inquiries on transactions and provide quotes as needed. o Contacts homeowners’ insurance agent and provides them with closing dates and mortgagee clause. o Assist with loan closings by attending closings and getting the required signatures on all loan documents. • Loan Processing Support o Review loan applications for completeness and accuracy. o Collect, verify, and organize borrower documentation such as income, asset, and employment records. o Assist in ordering credit reports, flood determinations and other required services. o Monitor loan pipelines and track application progress. o Coordinate with processors, underwriters, and closing departments. o Coordinates closing date with attorney, mortgage processor and Loan Officers. • Compliance and Documentation o Ensure loan files comply with company policies and regulatory requirements. o Assist with preparing disclosures and loan-related documents. o Maintain confidentiality of customer financial information. o Support quality control reviews and audits. o Reviews pending mortgage files for proper documentation and collateral. • Reporting and Tracking o Generate pipeline and status reports for Loan Officers and management. o Track deadlines and ensure timely completion of tasks. o Monitor outstanding conditions and assist in clearing them before closing. • Perform other duties as assigned or directed. SUPERVISORY RESPONSIBLITY: • This position does not supervise employees. EDUCATION and EXPERIENCE: • High School Diploma or equivalent required. Associate’s degree in business, Finance, Accounting or a related field preferred. • Minimum of two (2) years of experience in mortgage lending, banking, financial services, loan administration, or administrative support required. • Previous experience supporting Mortgage Loan Officers, Loan Processors, Underwriters, or other lending professionals preferred. • Working knowledge of mortgage loan products, documentation, terminology, and the residential leading process preferred. • Strong organizational, customer service, and administrative skills required. • Valid NMLS license or the ability to obtain licensing within 90 days of hire, if required. • Experience with Encompass or a similar Loan Origination System (LOS) preferred.
