## Overview Non-exempt position responsible for serving as the first point of contact for patients, visitors, and callers in the outpatient clinic. This role is responsible for creating a welcoming, professional, and efficient patient experience from check-in through check-out, while accurately managing scheduling, registration, insurance verification, and administrative tasks that support the clinical team. To learn more about PPCP, visit www.PalmettoPrimaryCare.com - Offer 401K with generous company match - Medical, Dental, Vision Benefits - Short Term and Long Term Disability Offered **Essential Duties and Responsibilities** - Greet and check in patients in a courteous, professional, and timely manner - Verify and update patient demographic and insurance information in the practice management/EHR system - Collect co-pays, deductibles, and outstanding balances at time of service - Schedule, reschedule, and confirm patient appointments via phone, in person, or through the patient portal - Answer multi-line phone system, screen and route calls appropriately, and take accurate messages - Scan and upload patient documents (ID, insurance cards, consent forms) into the EHR - Check patients out, schedule follow-up appointments, and provide visit summaries or after-visit instructions as directed - Maintain patient confidentiality and comply with HIPAA regulations at all times - Communicate with clinical staff regarding patient arrivals, delays, and scheduling changes - Manage the waiting room environment, including monitoring wait times and communicating delays to patients - Process incoming and outgoing mail and faxes - Reconcile daily co-pay/cash collections and prepare deposit logs - Maintain a clean, organized, and professional front office/reception area * * * **Non-Essential Duties and Responsibilities** - Assist with ordering front office and clinic supplies - Assist with training new front desk staff - Assist with special projects or administrative tasks assigned by the Site Supervisor - Provide general office support such as photocopying or organizing patient education materials ## Requirements **Required Knowledge, Skills, and Abilities** **Knowledge** - Working knowledge of medical terminology - Familiarity with HIPAA privacy and confidentiality regulations - Understanding of health insurance types (HMO, PPO, Medicare, Medicaid), co-pays, and deductibles - Knowledge of electronic health record (EHR) and practice management software (e.g., eClinicalWorks) - Basic knowledge of office equipment (multi-line phones, fax, scanner, copier) **Skills** - Strong verbal and written communication skills - Proficient in Microsoft Office (Word, Outlook, Excel) and general computer navigation - Accurate data entry and typing skills - Strong organizational and time-management skills - Excellent customer service and interpersonal skills - Basic math skills for handling payments and reconciling cash drawers **Abilities** - Ability to multitask and prioritize in a fast-paced, high-volume environment - Ability to remain calm, courteous, and professional under pressure or with difficult patients - Ability to work independently and as part of a team - Ability to maintain confidentiality and exercise sound judgment - Ability to adapt to changing schedules, protocols, and patient needs - Bilingual ability is a plus, depending on patient population * * * **Education and Experience** - High school diploma or GED required; Associate's degree or medical office certification preferred - 1–2 years of experience in a medical office, healthcare, or customer service setting prefe…
