We are seeking a detail-oriented HR & Payroll Coordinator to support day-to-day HR operations with a focus on payroll processing in ADP, timecard management, recruiting and employee lifecycle transactions. This role will help ensure accuracy, compliance, and timely processing across key HR functions during a period of increased workload. Essential Duties and Responsibilities: Payroll & Timekeeping Administration - Support biweekly payroll processing within ADP Workforce Now, ensuring accuracy and timely completion - Review, audit, and resolve employee timecard discrepancies across hourly, salaried, seasonal, union, and non-union staff - Ensure accurate payroll coding related to leaves of absence, benefit deductions, and employee status changes - Partner with managers and employees to resolve payroll and timekeeping issues promptly - Verify benefit elections and payroll deductions during onboarding and employee changes - Maintain the highest level of confidentiality, having access to pay and detailed personal information Leave Administration Support - Assist in supporting administration and tracking of employee leaves, including FMLA, ADA accommodations, short-term disability, workers’ compensation, parental leave, and unpaid leave - Maintain organized and compliant leave documentation and records - Follow up with employees regarding required documentation, medical certifications, and leave timelines - Coordinate with payroll, HR, and benefit vendors to ensure leave time and pay are accurately reflected within systems - Onboarding & Offboarding Coordination - Process new hires in ADP Workforce Now, including employee setup and onboarding workflows - Manage onboarding logistics including: - Offer letter processing through ADP - Background check initiation - New hire communications - Badge scheduling - IT/technology requests - Orientation coordination - Support onboarding for approximately 20+ incoming hires during peak periods - Process employee terminations and offboarding transactions within ADP, ensuring accurate final pay and system updates - Maintain consistency and accuracy throughout the employee lifecycle process Operations Support - Maintain accurate employee records and HR system data integrity - Assist with HR administrative tasks and operational support as needed - Support HR responsiveness across a busy and evolving environment - Participate in occasional after-hours meetings related to labor/union activity as needed Recruiting and Talent Acquisition - Work with hiring managers to post, interview, source, and hire candidates for the Museum - Ensure that hiring practices comply with all federal and state laws Qualifications (required/preferred) - 2–3+ years of experience in HR operations, payroll, or HR administration - Hands-on experience with ADP Workforce Now, specifically payroll and onboarding functions - Experience supporting payroll processes and timecard review - Working knowledge of leave administration processes, including FMLA, disability, and related documentation - Strong attention to detail and organizational skills - Ability to manage multiple priorities in a fast-paced environment - Ability to maintain confidentiality and handle sensitive employee information with discretion - Strong communication and follow-up skills - Experience supporting onboarding and employee lifecycle administration - Experience working with union and non-union employee populations - Experience in nonprofit, museum, education, or mission-driven organizations - Comfort working in a highly operational, hands-on HR environment
