It's a hands-on, detail-obsessed team where ownership matters more than hierarchy. As we continue to scale, this global team is growing fast, and there's a genuine path to grow with it — from administration, into last-mile logistics, into quality control. ABOUT THE ROLE 🤔 As a Fulfilment Operations Associate, you'll be the backbone of our local admin and last-mile operation in South Africa – keeping import, export, and delivery documentation filed, scanned, and cloud-stored to an exceptionally high standard. You'll support our Operations Manager with parcelling and dispatching last-mile shipments, and be the friendly, professional face customers see when they collect their orders or reach out with a query. Over time, you'll build toward conducting last-mile shipments yourself and, eventually, training as a Quality Controller — verifying the very diamonds that move through our platform. This is a role for someone who takes real pride in getting the details right. WHAT WILL YOU BE DOING? 😎 - Prepare, review, and manage import and export documentation for customs, compliance, and legal purposes. - File and scan import, export, and delivery slips consistently, uploading everything to the cloud in a clear, user-friendly format for safe, legally-compliant storage. - Process daily administrative tasks, including shipment updates, customer records, and internal reporting. - Keep systems and documentation up to date and aligned with company procedures and local South African regulations. - Assist the Operations Manager with parcelling last-mile shipments from South Africa to customers and other Nivoda offices. - Help process melee orders originating from Nivoda SA and add these into last-mile and interoffice shipments. - Act as the primary point of contact for customers collecting orders from the office — delivering a professional, welcoming experience. - Respond to customer enquiries via email, phone, and messaging platforms, resolving issues promptly or escalating when needed. - Build toward independently coordinating and overseeing the final stage of customer deliveries. - Develop the knowledge and skills to perform basic diamond quality control, verifying incoming and outgoing product against company standards. - Identify quality or documentation discrepancies, report them clearly, and work with the wider Operations team to resolve them. - Spot opportunities to improve operational efficiency, reduce errors, and clear administrative backlog.
