This position manages department budgets, grants, purchasing, and office operations while ensuring compliance with district, state, and federal requirements. The Financial Secretary collaborates with district departments, schools, vendors, and external partners to support curriculum, instruction, and professional learning initiatives. SALARY RANGE The salary range for this role can be found in the provided link: Salary Scales ESSENTIAL DUTIES AND RESPONSIBILITIES The following information is intended to describe the overall nature and scope of the work being performed in relation to the position. This is not a comprehensive listing of all of the responsibilities or tasks; other work may be assigned as deemed appropriate: Manage the financial operations of the Teaching & Learning Department, including departmental budgets, multiple funding sources, and district, state, federal, and grant-funded accounts. Monitor grant budgets and expenditures to ensure compliance with funding requirements. Process and maintain purchase requisitions, purchase orders, quotes, invoices, payments, and financial records. Coordinate the ordering, inventory, receipt, and distribution of curriculum materials, instructional resources, technology, assessments, and office supplies. Work collaboratively with vendors, the Business Office, and district staff to support purchasing and financial processes. Prepare financial reports, budget summaries, and other documentation as requested. Support school financial secretaries with curriculum and grant-related purchasing and financial procedures. Create timecodes and manage employee timesheets and other payroll-related documentation for department staff. Maintain department records, files, inventory, and office operations. Coordinate calendars, appointments, meetings, professional learning events, and other department schedules. Receive, prioritize, and respond to telephone calls, emails, mail, and other communications while exercising professionalism, discretion, and sound judgment. Assist administrators in preparing reports, presentations, correspondence, and other department materials. Perform related administrative and secretarial duties, routine administrative tasks, and special projects as assigned by department administrators. Maintain confidentiality and establish effective working relationships with district staff, schools, vendors, and community partners. Perform other duties as assigned by the Executive Director of Curriculum, Instruction and Assessment. MINIMUM QUALIFICATIONS: Below are the qualifications for this position: High School Diploma or GED Certificate (two years of applicable college or business school is preferred). Thorough knowledge of secretarial techniques and office procedures. Excellent interpersonal skills and ability to work with others. Typing skills with accuracy. Proficient Computer skills (e.g. Word Processing, Spreadsheet, Data Management, Power Point/or equivalent, Computerized Accounting Package). Proficiency in both written and oral English usage and proofreading. Ability to coordinate workload to meet established schedules/deadlines.
