Job Description Job Title: Financial Aid Administrator – Two (2) Positions Available Salary: $74,568.00 Annually Department: Financial Aid Pay Grade: ADM5 Reports To: Director, Financial Aid FLSA Status: Exempt Unit: Administrative Opening Date: 7/15/2026 Closing Date: 8/5/2026 11:59 p.m. GENERAL STATEMENT OF JOB The Financial Aid Administrator provides high-level support in the administration of federal, state, and institutional financial aid programs at Middlesex College. This role ensures that student financial aid files are processed with a high degree of accuracy and in strict compliance with all applicable regulations. The successful candidate will serve as a key resource for students and families, guiding them through the application, eligibility, and awarding phases of the financial aid lifecycle. SPECIFIC DUTIES AND RESPONSIBILITIES Essential Functions: 1. Reviews and analyzes student financial aid applications and supporting documentation to determine program eligibility. 1. Identifies and resolves conflicting information in student files, ensuring adherence to federal and state regulatory requirements. 1. Assists in the management and reconciliation of specific financial aid portfolios, which may include verification, state grants, or specialized student populations. 1. Provides comprehensive counseling to prospective and current students regarding financial aid procedures, eligibility, and award packages. 1. Utilizes state and federal databases (such as NJFAMS and the FSA Partner Portal) to process corrections and update student records. 1. Provide expert counseling to students and families regarding eligibility, application procedures, and the verification process. 1. Manages all confidential student financial and personal information in strict adherence to the Family Educational Rights and Privacy Act (FERPA) and other relevant data security protocols. 1. Conducts engaging on-campus and off-campus presentations, workshops, and other forms of outreach to educate prospective and current students and families about financial aid and the verification process. 1. Performs other duties as assigned. MINIMUM QUALIFICATIONS - Four (4) years of experience in student services, such as admissions, registration, student records, financial aid or student financial services - Financial aid experience in a higher education setting - Ability to work efficiently in a fast-paced work environment, with demonstrated multitasking and problem-solving skills - Excellent interpersonal, written, and verbal communication skills - Ability to work independently and within a team-oriented setting, use discretion, and apply judgment PREFERRED QUALIFICATIONS - Strong computer skills with knowledge of Microsoft Office, enterprise resource planning tools, and the FAFSA Partner Portal, COD, and NSLDS - Thorough knowledge of Federal and New Jersey State financial aid policies - Knowledge of Colleague (Ellucian) computer system or a similar platform, experience in the use of technology, query software, and financial aid databases and tools SUPPLEMENTAL INFORMATION Two (2) positions available SCHEDULE: Monday - Friday, 8:30 a.m. to 4:30 p.m., with occasional evenings and weekends Must be willing to travel.
