Executive Business Partner – COO Overview The Executive Business Partner will provide high-level strategic and operational support to the Chief Operating Officer (COO). Balancing complex administrative responsibilities with strategic business initiatives, planning, and cross-functional alignment, this role enables the COO to focus on high-impact priorities. The ideal candidate manages sensitive information with discretion, drives operational efficiency, and coordinates key initiatives across the organization. What You'll Do Strategic Calendar & Operational Management: Coordinate complex calendars, plan meetings, and conduct strategic calendar analysis to optimize executive effectiveness — including establishing recurring cadences and workflows that keep the COO organization running smoothly. Executive Support & Decision Leverage: Act as a key partner to the COO, keeping them informed of upcoming commitments, providing timely follow-up, anticipating potential issues, and making sound judgment calls to resolve scheduling and operational challenges before they escalate. Project & Program Management: Lead and complete ad-hoc projects, special assignments, and cross-functional initiatives. Manage expense report reconciliation and approvals as needed. Communication & Reporting: Prepare reports, presentations, and materials for internal and external stakeholders; serve as a liaison to facilitate alignment and decision-making across the COO organization. Meeting & Event Support: Capture meeting notes and action items, coordinate logistics, and support presentation development. Plan and coordinate events, travel, and executive materials. Process Improvement & Strategic Operations: Identify opportunities to enhance operational efficiency and implement new processes that scale with the business. Cross-Functional Collaboration: Work closely with other Executive Business Partners and internal teams to support organizational objectives, culture, and vision. What We're Looking For Experience: 5+ years supporting C-suite or senior executives, ideally in a dynamic, high-growth environment. Technical Skills: Proficiency with Microsoft Office Suite and executive productivity tools; comfort with project management platforms, AI-assisted workflows, or data/reporting tools is a plus. Executive Presence: Exceptional interpersonal, verbal, and written communication skills, with the ability to interact professionally with leaders, internal teams, and external stakeholders. Organizational & Project Management Skills: Strong ability to manage multiple priorities, adapt to changing business needs, and drive initiatives to completion with attention to detail and accuracy. Strategic Thinking & Judgment: Demonstrated ability to make informed decisions, prioritize effectively, and provide strategic insights to executive leadership. Professionalism & Discretion: High degree of integrity and sound judgment when handling confidential or sensitive matters.
