We are looking for a proactive, highly organised and service-oriented Executive Assistant to become a trusted partner to our CEO & Management Board. As the CEO’s Personal Assistant, you will provide seamless day-to-day support across a broad range of business and administrative matters, ensuring priorities are managed effectively and agreed actions are followed through. Acting as an extension of the CEO, you will anticipate needs, coordinate activities, and help ensure the CEO’s time and attention are focused where they matter most. Beyond supporting the CEO, you will coordinate the operational activities that enable the Management Board and Supervisory Board to work effectively. While the role does not involve providing personal assistant support to individual Board members, you will take ownership of the coordination and logistics surrounding Board meetings, leadership events, and travel arrangements where required. The role sits within the People team and reports to the Head of People. This is a new role for us, so we're looking for someone who's excited by the opportunity to make it their own. You'll have the freedom to introduce new ideas, build efficient ways of working and shape how executive support is delivered as the company continues to grow. Your Key Focus Areas Serve as the Personal Assistant to the CEO, providing proactive day-to-day administrative and operational support across a wide range of business activities. Manage the CEO's calendar, emails, meetings, travel and other requests, ensuring priorities are coordinated and executed efficiently. Coordinate the day-to-day operations of the Management Board by organising recurring Management Board meetings, offsites, workshops and other Board-related activities. Organise Board, Supervisory Board and Shareholder meetings, including scheduling, meeting logistics, venue and meeting room bookings, catering and meeting materials. Coordinate travel arrangements for the CEO, Management Board and Supervisory Board members, including flights, accommodation, transportation and itineraries for business travels. Support the Corporate Development & Strategy team with the planning and coordination of investor-related meetings, events and delegation visits, as agreed. Lead the planning and coordination of selected company-wide events, including the Employee Recognition Awards, and support Group Management Meetings in partnership with the Communications team. Coordinate executive dinners, business lunches, meeting room bookings and other corporate hospitality arrangements where needed. Provide ad hoc administrative, coordination and project support to the executive leadership team as required. Your Experience & Strengths Previous strong experience as an Executive Assistant supporting a CEO or other C-level executives in an international fast-paced environment. Confidence and experience in managing executive schedules, international travel, Board activities and competing priorities in a fast-paced environment. Proven ability to deliver high-quality executive, Board and group-wide meetings and events across multiple locations, balancing complex logistics, multiple stakeholders and ensuring high-quality delivery.
