Under limited supervision, provides administrative support to the Hamilton County Juvenile Court in the management of court records and electronic client case files, including assisting parties, attorneys, various local and state agencies, and magistrates with the administration and resolution of client legal matters. **ESSENTIAL FUNCTIONS** **:** Essential functions, as defined under the Americans with Disabilities Act, may include the following tasks, physical requirements, knowledge, skills, abilities, and other characteristics. This list of tasks is ILLUSTRATIVE ONLY, and is **not** a comprehensive listing of all functions and tasks performed by incumbents of this class. Performs independent legal support services for users of the Juvenile Court. Ensures procedural accuracy in the receipt of legal pleadings and assists pro se parties and attorneys as necessary and determines the appropriate filing fee for pleadings. Creates and maintains records in the fully digitized case file data management system and digital images to ensure accuracy of the legal record in database format. Schedules cases for hearing on electronic court calendar, issues necessary legal process, and updates rule docket recording system accordingly. Answers complex questions and assists users in person, in writing, and telephonically. Conducts research into the legal record and within associated sources, including other database systems, to provide requested information and documentation. Works closely with other state and local agencies to coordinate services and assist users of the court with their proceedings. Imports data sent electronically from other entities into the database as necessary and manages database updates. Performs other duties as assigned. **Petition Clerk:** In addition to the above general duties, the Petition Clerk is responsible for the receipt and processing of all petitions filed by the State of Tennessee, Attorneys and Pro Se litigants. Ensures that new information entered into the case file database and digital image database is accurate and updated properly. Also manages the request, receipt, and digital scanning of older paper-based case files from the record warehouse located offsite. Serves as back-up to the Cashier and performs those duties when necessary. Performs other duties as assigned. **Cashier:** In addition to above general duties, the Cashier provides bookkeeping functions for the office, including receipting and dispersing funds paid into court for filing fees, court costs, and child support payments, and maintains the accounting database for payment records. Reconciles financial records and compiles monthly reimbursement requests for billing to the State. Sends payment requests on unpaid accounts and monitors payment history. Updates and maintains the State database for child support payments made on-site. Performs other duties as assigned. Knowledge of applicable State of Tennessee statutes, rules, administrative orders, local policies and procedures, and Federal rules and regulations. Knowledge of legal terminology and the forms and documents used in legal administrative work. Knowledge of legal procedures and practices involved in processing and filing a variety of legal documents. Knowledge of standard legal references and their contents. Strong understanding of modern office procedures, methods, and computer equipment, including database management and document scanning. Knowledge of the principles and practices of record keeping, bookkeeping, case-flow management, and office operations. Knowledge of laws relating to juveniles and child support. Knowledge of and experience in Microsoft Office software, including Word, Excel, Outlook, etc. Skill communicating in both oral and written form. Skill in establishing and maintaining effective working relationships. Ability to work independently.
