**POSITION SUMMARY:** Under the direction of the Chief Behavioral Health Officer, the Behavioral Health Intake & Placement Supervisor oversees and coordinates all patient intake, referral, and placement functions within APLA Health’s Behavioral Health department. The Supervisor ensures that patients are appropriately triaged, screened, and assigned to clinicians, and that all communication, scheduling, and documentation processes operate efficiently. This role maintains primary contact with clinicians, medical staff, and patients, providing oversight and mentorship to the Intake & Placement Associate. **ESSENTIAL DUTIES AND RESPONSIBILITIES:** - Serve as primary point of contact between Behavioral Health, Medical, and MAT teams to ensure integrated, patient-centered care. - Match patients to therapists based on urgency, clinical fit, language, and scheduling capacity. - Conduct or oversee secondary screenings (e.g., SBIRT) and coordinate care pathways. - Manage escalations and complex referrals requiring judgment or coordination with leadership. - Oversee Behavioral Health waitlist management, ensuring transparency and timely communication with patients. - Supports Intake & Placement Associate in performing administrative and data-entry tasks when needed. - Conduct quality reviews of documentation, data accuracy, and communication standards. - Develop standardized workflows and templates for referrals, PandaDoc forms, and follow-ups. - Serve as the department’s primary contact for intake-related inquiries, de-escalations, and coordination of urgent needs. - Support providers and medical staff in addressing behavioral health and substance use concerns. - Monitor daily, weekly, and monthly intake activity, waitlists, and referral metrics. - Prepare reports for the Chief Behavioral Health Officer and department leadership. - Ensure compliance with HIPAA, documentation standards, and quality benchmarks. - Identify inefficiencies and recommend solutions for reducing administrative burden. - Coordinate with IT and Quality teams to streamline intake systems (ECW, Salesforce, Excel trackers, etc.). - Maintains staff by recruiting, selecting, orienting and training employees. - Accomplishes staff results by communicating job expectations; planning, monitoring and appraising job results through the completion of staff goals, evaluations and disciplinary action. - Responsible for approving staff time cards and time off requests. OTHER DUTIES MAY BE ASSIGNED TO MEET BUSINESS NEEDS. **REQUIREMENTS:** Training and Experience: Bachelor’s degree in psychology, social work, public health, or related field preferred or Highschool diploma/GED and a minimum of four years’ experience in behavioral health or medical coordination, with at least one year of supervisory or lead experience. Bilingual required – English/Spanish. Excellent communication, multitasking, and de-escalation skills. Proficient with ECW, Salesforce, Excel, and PandaDoc. Knowledge of: - Behavioral health intake and referral workflows in an FQHC or integrated care setting. - Principles of mental health and substance use screening, triage, and care coordination. - Confidentiality and privacy regulations including HIPAA and 42 CFR Part 2. - Electronic health record systems (e.g., eClinicalWorks), referral tracking, and data integrity. - Trauma-informed communication, crisis de-escalation, and patient engagement strategies. - Supervisory practices, team motivation, and performance monitoring. - Community behavioral health resources and social service linkages across Los Angeles County.
