Position Overview: The Admissions Assistant & Database Coordinator plays a pivotal role in the efficient operation of the Marlborough School Admissions Office. Serving as the primary point of contact for prospective families, this individual fosters a welcoming environment while providing high-level administrative support to the enrollment team. Simultaneously, this role serves as the functional expert for admissions systems, ensuring data integrity, streamlining application processes, and managing the technical infrastructure that supports strategic enrollment goals. Primary Duties and Responsibilities (other duties may be assigned): - Serve as the first point of contact for prospective families, ensuring a positive experience through professional phone, email, and in-person interactions. - Coordinate administrative logistics for admissions events, including registration, scheduling, materials preparation, and on-site support. - Manage daily office operations, including mail distribution, supply procurement, and budget tracking. - Provide executive-level support to the Director of Enrollment Management and Collegiate Partnerships and the broader admissions team. - Facilitate efficient scheduling for tours, interviews, and internal meetings, ensuring effective cross-departmental coordination. - Maintain up-to-date knowledge of institutional protocols to support staff training and departmental collaboration. - Administer admissions software (e.g., Ravenna Solutions), including system configuration, user troubleshooting, and staff training. - Oversee data integrity for all applicant records, from inquiry to enrollment, ensuring accurate reporting and efficient processing. - Partner with IT and the Business Office to manage system integrations, financial aid data, and enrollment contract workflows. - Manage website content updates to ensure accurate, timely information for prospective families. - Coordinate and distribute admissions-related communications, including digital publications and mailings.
