**Position:**Administrative Assistant Outreach is seeking a qualified candidate for a FT Administrative Assistant. The Administrative Assistant is an integral member of the site. It is highly preferred that the candidate speaks Spanish. The position's hours are 3 days 9am - 5pm and 2 days 1pm – 9pm. **Essential Duties:** - Provide information regarding services, conduct phone screening, and record information in the intake book. Interact with referral sources, clients and staff in a professional, ethical and caring manner. - Answer/screen incoming phone calls; welcome and screen visitors; maintain reception area appearance; maintain knowledge of staff schedules. - Conduct pre-intake telephone screening, schedule intake appointments and record relevant intake information in the intake log. - Collect client fees, issue receipts and record information in the computer. Collect all Medicaid client cards on a daily basis and swipe card using Medicaid machine. Report any benefit denials to appropriate staff. - Maintain efficient and understandable filing system for administrative and clinical records; update filing system on a periodic basis. Ensure charts are well organized. - Maintain a supply of forms and pre-arranged intake folders. Disassemble charts of discharged clients and files appropriately. - Input all daily client activity and client demographic information in the computer. - Monitor the following internal records: Caseload updates, clinic appointment books, toxicology client roster, etc. - Schedule medical, psychiatric and intake appointments for clients as needed. - Assist in safeguarding clients’ confidentiality in accordance with pertinent regulations, which include HIPAA and CFR42, Part 2. - Assist in the maintenance and order of office and toxicology supplies. - Assist in maintenance of the physical plant; reporting needed repairs in a timely manner; respond appropriately to emergencies; utilizing appropriate agency resources in seeking to improve physical plant function and safety. **Minimum Requirements:** - 2-4 years of administrative work; substance abuse or allied health background a plus. - Must be amenable to hours. **Preferred Qualifications:** - Bilingual English/Spanish preferred. **Position Status:** This is a full-time non-exempt position. 3 days a week: 9am - 5pm 2 days a week: 1pm - 9pm
