The Department of Economic Security, Division of Developmental Disabilities (DDD), is seeking an experienced and highly motivated individual to join our team as an Administrative Assistant 3. This position provides high-level administrative support services to management. This position has a significant amount of public contact with administrators, parents, individuals, contracted providers, and stakeholders. This position will also assists the following Health Car Services (HCS) programs: Early Periodic Screening and Diagnostic Treatment (EPSDT), Pre-Admission Screening and Resident Review (PASRR), Complex Care Team (CTT), Transitions Coordination Support Services (TCSS), Tribal Health Plan (THP), and other programs as needed or that may be developed in the future. DDD provides individuals with developmental disabilities, and their families, services and supports that are flexible, high-quality, and member-driven. These services provide individuals with opportunities to exercise their rights and responsibilities of independent decision-making and engagement in the community. Applicants for this position cannot be licensed or certified by the DDD Office of Licensing, Certification and Regulation, cannot have a principal interest in or have a spouse or close family with a principal interest in a DDD Qualified Vendor Agreement, and cannot be employed or subcontracted by a DDD Qualified Vendor. **This position is 100% in an office setting.** | Job Duties: | | --- | Essential Duties and Responsibilities include but are not limited to: - Provides verbal and/or written status reports to the manager on external as well as internal issues. - Compose letters, memos, and emails on behalf of the manager. - Develops and maintains spreadsheets, data bases, and/or tracking systems to manage project assignments requested by the manager. - Coordinates, facilitates, and attends various meetings to take, transcribe, and distribute minutes and follows up on assignments. - Maintains an automated calendar. - Maintains confidential files and information. - Independently completes special projects. - Compose, type and draft on computer letters, monthly reports and processing for EPSDT, MCH, Ventilation, and monthly nurse listing updates. - Attend monthly nurse meetings, transcribe, and attend other meetings and training. - Schedule meetings, appointments and travel for supervisors and nurses, and keep track on Google calendar. - Responsible for Travel Claims and processing. - Assist with Switchboard duties, answer inquiries, provide direction and resolve problems to external and internal customers. - Train new staff on this duty. - Maintain EPSDT, Vent, and pregnancy reference files and policy manual. - Assist the following HCS programs: EPSDT, PASRR, CCT, TCSS, THP, and other programs as need or that may be developed in the…
