General Description: Serve as secretary and registrar for the counseling office and perform such duties to assure the accurate and efficient operation of the office. Essential Functions: 1. Maintain respect at all times for confidential information. 2. Perform duties of receptionist and maintain a pleasant attitude. 3. Perform duties of registrar in an efficient manner. 4. Evaluate, assess and connect students with proper personnel. 5. Receive a variety of questions and requests and see that such matters are disposed of promptly, correctly and tactfully. 6. Effectively operate various office machines. 7. Prepare and maintain adequate files for the counselors. Process all records for alumni, current and new students. 8. Conduct important contacts with the public/community and others requiring tact and diplomacy. 9.Receive telephone calls, respond appropriately and correctly and make proper disposition of such. 10. Arrange/record appointments for students, parents, school personnel and visitors with counselors college advisor, CRC counselor, school psychologist, and testing personnel. Contact students for conferences with counselors. 11. Prepare correspondence, reports and communications and request guidance literature as designated by counselors. 12. Responsible for scheduling appointments for school counselors and the college advisor. 13. Responsible for total record keeping and/or obtaining students' school entrance, transfer and withdrawal records; forwarding copies to other offices for county records. 14. Execute testing responsibilities (AP, EOC, SAT, PSAT with Assistant Principal). 15. Maintain/update guidance literature on bulletin boards in the counseling office and halls. 16. Responsible for notifying teachers of transfer students' grades/credits earned. 17. Maintain adequate and accurate inventory of supplies for the efficient operation of the school office. 18.Responsible for accurate and efficient enrollment and withdrawal of students. 19. Process and enter student scholarship applications. 20. Accurately and efficiently enter EMIS coding each semester after schedules are set. Other Duties and Responsibilities: 1.
